Amber Leisure Motorhomes UK Rental TermsPlease note: vehicles that state a requirement of a C1 Licence can only be driven by clients whom have a class C1 Licence.
Important Rental Information
An initial non-refundable deposit will be secured at the time of booking confirmation. This must be paid by Visa or Master card only.
A second stage payment of 50% is also required at the time of booking confirmation. This payment will be deducted from your nominated credit card shortly after booking has been confirmed.
The remaining amount is due 45 days prior to pickup. Your nominated Visa, MasterCard used at time of booking will typically be used for the second stage payment.
Please note the vehicle provider charges a 2.5% credit card charge.
Special payment terms
Full balance of payment (including the deposit) will be collected at the time of confirmation if you have elected to process your booking in a currency different to UK Pound.
A £1250 damage deposit is pre-authorised on the day of collection from a debit/credit card.
Payments can be made by debit/credit card or by bank transfer for the hire.
Amber Leisure are irrevocably authorised to deduct from the card lodged against the damage deposit any amounts due from the hirer arising out of this agreement. To include fines/penalties and administration charges incurred.
The initial deposit paid is non-refundable. In addition to forfeiting your deposit, the following charges also apply:
More than 45 days before: The second stage deposit.
45 days - 17 days before: 75% of total hire.
17 days before - no show: 100% of total hire charge.
The supplier cannot postpone or transfer money from one hire to another. The supplier reserves the right to amend the cancellation policy for certain events.
Fully comprehensive insurance is provided within the hire charge and for the hire period only, driving outside this period of cover would be deemed to be an offence under the Road Traffic Act. Furthermore, the hirer is entirely responsible for any accidental damage, injury and consequential loss after the expiry of the hire period.
The driver/s covered under the policy will be driving on a £1,250.00 excess.
A damage deposit of £1,250.00 is to be pre-authorised prior to vehicle collection on a debit/credit card or can be paid by cash on the day of hire. In the event of damage to the vehicle (interior and exterior) or third party property the full £1,250.00 will be taken from the hirer to cover the insurance excess of £1,250.00. The hirer hereby acknowledges and agrees that the excess or any other amount due by the hirer in respect of any damage arising from an accident, loss or damage is payable at the time of reporting the event and not at the end of the hire period. Demurrage (loss of rental days whilst awaiting parts) will be charged to, and will be payable by, the hirer.
The damage deposit will be released on the satisfactory return of the vehicle, being on time and in the same condition it was hired. Deductions will be taken from this deposit in respect of any damage, late returns and equipment replacement costs that are not covered under the insurance policy.
It is advised that the hirer takes out separate travel insurance as no cover is provided for personal possessions.
Any damage to tyres, windscreen and any theft or loss of personal effects is not covered by our insurance and shall be at the hirer’s expense.
Amber Leisure must be notified if the hirer intends on leaving the country and failure to do so will invalidate the hirer’s insurance cover. A charge is made for travel to Europe and a list of acceptable countries is available upon request.
In the event of any accident, loss or damage arising out of the use of the vehicle, the hirer will:
- Notify Amber Leisure within 24 hours of the incident occurring.
- Obtain the names and addresses of third parties and any witnesses and report the event to the nearest police station.
- Complete an accident form as supplied by Amber Leisure.
- Not make any admission of liability to other parties, settlement offer or any other like offer.
- Assist Amber Leisure in handling any claim arising from any event, including providing all relevant information and attending court to give evidence.
The hirer will pay for any costs relating to the delivery of a changeover vehicle as a result of an accident regardless of which party is at fault. However, if no vehicle is available or insurers refuse to offer further cover, then the hire will end with no refund of monies being due from Amber Leisure.
Only persons named on the insurance policy at time of hire may drive the vehicle.
Drivers must be over the age of 25 and under 75 and must have held a valid licence for at least 2 years. Age groups outside this bracket may be insured with an additional premium and this will be down to our insurer’s discretion.
Driving licences with endorsements may be subject to a surcharge and must be declared before hire.
Driving licence to be produced on collection of vehicle.
On collection of vehicle, the hirer (being the person nominated as the hirer in our booking form) will need to provide one form of identification along with a recent utility bill (original only).
Vehicle Collection and Return
Collection is Monday – Friday 1pm – 4pm, Saturday 9am – 11.30am
Return is Monday – Friday 08.30am – 11.30am, Saturday 9am – 11.30am
Failure to comply with these times will result in the hirer being charged and liable at the rate of £100.00 per hour as liquidated damages and being uninsured. This sum represents a genuine pre-estimate of Amber Leisure loss. No refund is given for early vehicle returns.
On return of the vehicle the hirer is to ensure that the vehicle is clean and tidy and that the chemical toilet is clean and free from waste. Each carries an additional charge of £75.00 payable by the hirer in the event of the hirer failing to ensure such cleanliness.
It is the hirer’s responsibility to check that on collection the vehicle is free from damage and defects.
For the Manchester Airport branch: Office open hours are Monday to Saturday from 9am till 5pm; Sundays and out of hours by appointment. Pick ups and drop offs can be arranged from Manchester and Liverpool 24/7 365 days of the year. Transfer would be £75 each way for up to 6 passengers.
While Amber Leisure will endeavour to make every effort to ensure the vehicle is ready at the agreed time, circumstances may arise outside of Amber Leisure's control and, subject to the ‘LIABILITY’ section of these terms and conditions, Amber Leisure accepts no liability other than the refund of any complete day or days lost.
Amber Leisure will make every effort to ensure that the reserved vehicle is available for the hirer at the correct time. If, due to circumstances beyond Amber Leisure's control, this is not possible and if an alternative comparable vehicle or acceptable vehicle is not available then, subject to the ‘LIABILITY’ section of these terms and conditions, Amber Leisure liability is limited to the refund of all monies paid by the hirer.
Amber Leisure will carry out a full Pre-Checkout Inspection (PCI) on every vehicle before the commencement of hire. The PCI involves testing every system on board the vehicle to ensure they are operating correctly. In conjunction with this the hirer will be taken on a tour of the vehicle and shown how each system works (and that it works). Should an onboard system fail during the hirer’s hire, Amber Leisure will make every effort to remedy the fault whilst the hirer is away but in some cases this may not be possible and, subject to the ‘LIABILITY’ section of these terms and conditions, Amber Leisure will not be held responsible and will not refund any monies should a loss of service be encountered.
Breakdowns and Accidents
In the event of a breakdown or accident services will be at the hirer’s disposal 24 hours a day, 7 days a week.
The hirer is authorised by us to spend up to £50.00 on necessary repairs and we will reimburse the hirer against a valid value added tax receipt.
Any repairs above £50.00 need to be authorised by a member of staff at Amber Leisure motorhomes.
Any breakdown, malfunction or damage caused by the hirer’s negligence will be made good at their expense (this includes towing required when stuck in mud/a field).
Every effort is made to ensure the vehicle is in a roadworthy and safe condition prior to each and every hire. Therefore, subject to the ‘LIABILITY’ section of these terms and conditions, Amber Leisure will not accept any responsibility for hotel or any other consequential expenses subsequent to a breakdown.
However, Amber Leisure will refund the loss for any complete days lost for the use of the vehicle providing the hirer has documentation to support this claim.
Fuel, Gas and Water
A full tank of fuel is supplied with the vehicle at commencement of hire and the vehicle is expected to be returned with a full tank. A charge of £4.00 per litre will apply for any fuel shortage as liquidated damages and will be payable by the hirer. This sum represents a genuine pre-estimate of Amber Leisure loss.
It is the hirer’s responsibility to check and maintain oil and water levels to vehicle specifications and to put the correct fuel into the vehicle.
One full refillable gas cylinder will be supplied at commencement of hire. This must be returned full or a charge of £30.00 will be made. A second gas cylinder (Calor) is available for a non-refundable amount of £30.00.
Any cylinders lost or incorrectly exchanged will be charged to the hirer and will be payable by the hirer.
The hirer must ensure that all passengers wear seat belts provided.
The hirer is responsible for all parking/motoring offences during the hire period and will pay an administration fee of £25.00 to Amber Leisure on top of the fine.
The hirer must ensure the vehicle is not overloaded and carries only the correct number of passengers as per vehicle specifications.
The hirer must not use the vehicle for hire or reward.
The hirer will not tow any vehicle or trailer behind the vehicle unless Amber Leisure's prior agreement has been obtained.
The hirer will not allow any pets into the vehicle unless our prior agreement has been obtained.
The hirer is responsible for ensuring the vehicle is locked when left unattended.
The hirer will ensure all hatches and doors are securely fastened during transit.
The hirer hereby acknowledges and agrees that:
Amber Leisure retains the title to the vehicle and its contents and that they possess the vehicle and its contents as a mere bailee only.
The hirer does not have any right to pledge our credit in connection with the vehicle and agrees not to do so.
The hirer shall not agree, attempt, offer or purport to sell, assign, sublet, lend, pledge, mortgage, let on hire, or otherwise part with the personal possession of or otherwise deal with the vehicle
Amber Leisure operates a strict policy of no smoking within our motorhomes. Failure to comply with this will result in a charge of £500.00 being made and being payable by the hirer as liquidated damages. This sum represents a genuine pre-estimate of Amber Leisure loss.
AMBER LEISURE RESERVES THE RIGHT TO VARY RATES AND CONDITIONS AT ANY TIME. AMBER LEISURE RESERVES THE RIGHT TO REFUSE HIRE TO ANY PERSON(S) FOR ANY REASON AND NOT HAND OVER ANY VEHICLE IF AMBER LEISURE FEELS THE HIRER IS NOT SUITABLE FOR WHATEVER REASON. AMBER LEISURE RESERVE THE RIGHT TO REPOSSESS THE VEHICLE AT ANY TIME, DUE TO MISUSE, DAMAGE OR ACCIDENT.
Upon providing the booking form by any means the hirer is legally deemed to have agreed and accepted these terms and conditions which shall be governed by the laws of England and Wales and with the parties hereby submitting to the exclusive jurisdiction of the courts of England and Wales in the event of any dispute between them.
Data Protection Act
The information that you have provided to Luton Caravan Centre Ltd will be used to fulfil this contract placed with Amber Leisure. We will not pass this information to any other organisation outside this company other than to our insurer Terms of booking on this website
The rates on this website are often heavily discounted. This is due to our negotiated rates and bulk buying power. On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.
To the extent permitted by law we/the owners of this website will not be liable to you or to any third party (whether in contract, tort, or otherwise) for any direct, indirect or consequential loss or damage (including but not limited to any accident, injury, delay or loss of enjoyment) arising out of your reliance upon information contained on this website, including but not limited to your use (or inability to use) any products or services described or procured through this website.
When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. Your rental and use of the vehicle will be governed by the terms of the rental agreement and any other documentation or information provided to you by the supplier at the time you pick up your vehicle. The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.
While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. If you encounter issues with the vehicle whilst on hire, you MUST report these issues directly to the relevant supplier at the earliest possible time. This will allow the supplier to remedy any issues and minimise any inconvenience to you. If you fail to report any vehicle issues during your rental, it is likely that compensation will not be offered. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.
Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.95% credit card or debit card surcharge will be added when your payment is processed.
A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.
If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Motorhome rental alterations (all charges stated in local currency): 25.00
The alteration fee will not be charged if your alteration request is not possible.
Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.
We are committed to providing a quality service and aim for complete customer satisfaction. In the event of cancellation, any refunds or penalties are detailed in the terms and conditions of your selected vehicle that you are asked to read and accept at time of booking. In the event you are unsatisfied with our service, please contact us within 48 hours of placing your booking or request and we will work to resolve any issues and determine if compensation is due. In the event you have completed your rental and are unhappy with your vehicle, we are happy to assist you in seeking compensation from the operator of the vehicle.
